Why the answer is smaller than it feels
Every instinct in event planning pushes the block size up. Nobody wants the call from a family who could not find a room, and a generous block feels like hospitality. But a block is not a courtesy, it is a purchase commitment, and the contract that comes with it usually asks you to guarantee 80% of what you reserve. A block sized at what you hope will happen is a block you are already short on.
The calculator above deliberately sizes 10% under the rooms it expects your block to take, for that reason. Hotels will nearly always add rooms to a block that is filling fast, because a strong pickup is exactly the customer they want next year. Very few will quietly forgive an invoice for rooms that sat empty.
The number most organizers never calculate
The interesting figure on this page is not the block. It is the line marked rooms booked outside your block. Those are the attendees who came to your event, needed a bed within a few miles of your gate, and paid a booking site for it. From the organizer’s side that spend is invisible. It does not show in your pickup, it does not reduce your attrition liability, and it does not appear anywhere on your P&L.
It is also, for most events, the larger half. Your block is capped by what you dared to contract. The overflow is capped only by attendance. That asymmetry is the whole reason room blocks feel like a chore that never quite pays: the part that carries the risk is the small part, and the part that carries the money is the part you never touch.

Inputs worth getting right
- Travelling share. Ticket or registration postcodes give you this exactly. It is usually the input people guess at and the one that moves the answer most.
- People per room. Family-heavy events can be double a conference. Using a generic figure here is how blocks end up twice the size they should be.
- Nights. Shoulder nights matter. A two-night average across a three-day event is normal, and blocking all three nights at full width is a common source of night-by-night attrition damage.
- Block share. Be pessimistic. Whatever proportion you assume will use your block, last year’s actual pickup is the better number if you can find it.
