Why the answer is smaller than it feels

Every instinct in event planning pushes the block size up. Nobody wants the call from a family who could not find a room, and a generous block feels like hospitality. But a block is not a courtesy, it is a purchase commitment, and the contract that comes with it usually asks you to guarantee 80% of what you reserve. A block sized at what you hope will happen is a block you are already short on.

The calculator above deliberately sizes 10% under the rooms it expects your block to take, for that reason. Hotels will nearly always add rooms to a block that is filling fast, because a strong pickup is exactly the customer they want next year. Very few will quietly forgive an invoice for rooms that sat empty.

The number most organizers never calculate

The interesting figure on this page is not the block. It is the line marked rooms booked outside your block. Those are the attendees who came to your event, needed a bed within a few miles of your gate, and paid a booking site for it. From the organizer’s side that spend is invisible. It does not show in your pickup, it does not reduce your attrition liability, and it does not appear anywhere on your P&L.

It is also, for most events, the larger half. Your block is capped by what you dared to contract. The overflow is capped only by attendance. That asymmetry is the whole reason room blocks feel like a chore that never quite pays: the part that carries the risk is the small part, and the part that carries the money is the part you never touch.

Inputs worth getting right

  • Travelling share. Ticket or registration postcodes give you this exactly. It is usually the input people guess at and the one that moves the answer most.
  • People per room. Family-heavy events can be double a conference. Using a generic figure here is how blocks end up twice the size they should be.
  • Nights. Shoulder nights matter. A two-night average across a three-day event is normal, and blocking all three nights at full width is a common source of night-by-night attrition damage.
  • Block share. Be pessimistic. Whatever proportion you assume will use your block, last year’s actual pickup is the better number if you can find it.

Common questions

How many hotel rooms should I block for my event?

Start from the people who actually travel, not from total attendance. Multiply expected attendance by the share coming from far enough away to need a bed, divide by realistic occupancy per room, then take the share who will plausibly use your block rather than book on their own. Contract slightly under that figure and add rooms later if pickup is strong. Adding rooms is a phone call; unfilled rooms are an invoice.

How many rooms should I block for a wedding?

Count the out-of-town guests rather than the guest list. Most wedding parties land near two adults per room, so roughly half the out-of-town headcount is a starting room count, and a good share of guests will book on their own regardless of what you arrange. Blocking 20 to 30 rooms for 60 travelling guests is a far safer position than blocking 30 and signing an 80% clause against it.

What occupancy should I assume per room?

It varies more than any other input here. Business conferences run close to one person per room. Weddings and festivals sit near two. Youth sports and family events run highest because families and siblings share, often between two and a half and three and a half. Use last year's own numbers if you have them, since your event's figure beats any published average.

What share of attendees will actually use my room block?

Fewer than most organizers expect. Your block competes with every booking site, every loyalty programme, and every rental listing in the market, and it usually loses on price or on flexibility. Treating your block as capturing a minority of your travelling attendees is the realistic planning assumption; the majority booking elsewhere is normal, not a failure.

Is it better to block too many rooms or too few?

Too few, in almost every case. A block that sells out early is a good problem: hotels will usually extend it, and the attendees who miss out book nearby anyway. A block that is too large triggers attrition damages on rooms nobody slept in, and it also drags down the pickup percentage that a hotel will look at when quoting you next year.
